Job Description
The Yardi System Administrator is responsible for the overall administration, configuration, and support of the Yardi platform. This includes overseeing implementations, managing system customizations and enhancements, maintaining environment security, coordinating software upgrades, and handling configuration requests and issue resolution. The goal is to ensure business teams can use the system accurately and efficiently. The System Administrator will work closely with clients to understand their business needs and tailor the Yardi system to meet those requirements.
The ideal candidate will have hands-on experience with the full lifecycle of cloud-based enterprise software implementations, with a strong focus on Yardi setup and configuration. This includes leading discovery sessions with cross-functional teams, gathering and analyzing business requirements, and translating those needs into scalable, effective system configurations.
Key Responsibilities
Implementation Experience
- Lead solution analysis and document business process flows.
- Spearhead change management initiatives and user adoption strategies.
- Serve as a practice lead during implementation projects, coordinating across teams to ensure successful delivery.
- Prepare and execute end-user testing and system validation.
- Guide clients through go-live and post-implementation support phases.
- This role requires a strategic thinker who can balance system administration with implementation leadership and effectively partner with both internal and external stakeholders.
System Administration & Technical Oversight
- Maintain and manage client’s Yardi systems to support Property Management, Accounting, and Asset Management functions.
- Act as the Administrator/Super User for the software, enabling/disabling users, managing role-permissions, and setting up new properties.
- Responsible for system administration, including maintenance of user security groups, new user set-up, and general security management.
- Schedule and monitor reports, ensure accurate record keeping, and remove unused records as needed.
- Manage system upgrades, including testing of existing business processes to ensure efficient rollouts.
- Monitor new entity and record setup for completeness and consistency.
- Delete transactions with appropriate approval.
- Support data population as needed.
Customization & Workflow Optimization
- Establish best practices and efficient workflows for system usage.
- Work directly with business teams to capture customization requests, consulting on Yardi functionality, capturing technical requirements, and building implementation plans.
- Oversee and complete system customizations or configurations, including coordination with third-party consultants.
- Design and implement processes and/or technology solutions to ensure the Yardi database stays in sync with other systems.
User Support & Training
- Manage user support, including system training, troubleshooting, and answering usage questions.
- Document system processes and provide guidance for end-users.
- Support the extraction of data, including executing queries to address data-related questions.
Vendor & Stakeholder Communication
- Responsible for Yardi vendor management: submit and track support cases, advocate for software enhancements, and attend vendor conferences.
- Communicate and collaborate regularly with project managers, internal teams, and clients through scheduled updates or ad hoc meetings as needed to address issues.
Business Development & Relationship Management
- Contribute to D2D growth by sourcing new work through existing or new client relationships.
- Develop long-term relationships internally and externally by communicating effectively with teammates, clients, and executives.
Professional Development & Travel
- Stay current on Yardi product updates and new features.
- Ability to travel up to 25%.
- Travel as required based on client needs, resource availability, and CDC safety guidelines.
Required Qualifications
- Bachelor’s degree in business, technology, finance or a related discipline or commensurate work experience required.
- 3+ years of experience implementing relevant Yardi modules or administering Yardi required.
- Familiarity with the full suite of Yardi products to include Voyager, Rent Café, Yieldstar, Nexus/Payscan, Forecasting; as well as with associated third-party integrations.
- 2-3 years of experience working at an advanced level with core Microsoft office applications (Word, Excel, PowerPoint, Outlook) required, and experience with extended Microsoft Suite (Lists, Visio, SharePoint, Forms, PowerBI, Teams, etc.) strongly preferred.
- SQL query knowledge, experience with import/export tools and custom report design required.
- Experience in/exposure to real estate, tax, accounting, fundraising, investor relations and/or finance sectors valued.
- Ability to communicate effectively with stakeholders at all levels internally and with external vendors.
- Ability to think independently and analytically and make recommendations accordingly
- Collaborative perspective across various audiences to include on-site, corporate departments, clients, and vendors
- Outstanding written and oral communication skills and must possess a strong commitment to customer service

Professionalism and Conduct
- Present a clean, neat, and tasteful appearance appropriate to your role whenever representing D2D, whether in person or virtually.
- Be prepared for the workday and arrive on time for scheduled work, meetings, and events. If tardiness or absence is unavoidable, notify both your D2D supervisor and the client as soon as possible. Frequent or unexcused absences or lateness may result in disciplinary action.
- Demonstrate ethical behavior at all times, including safeguarding confidential information and refraining from theft, negligence, destruction, or unauthorized removal or misuse of D2D or client property.
- Ensure that participation in outside professional organizations does not interfere with job performance or client obligations.
Communication and Reporting
- Communicate proactively with clients and D2D management regarding timelines, deliverables, delays, and project status. Consultants are required to provide status updates to their direct manager at least weekly.
- Submit all work time into the time management system by the end of each Friday to ensure accurate and timely payroll processing.
